The SKU round trip

How a sale finds its lot

Aucta does not talk to Whatnot directly yet. Your lots leave as a file: Export for Whatnot makes the one Whatnot's bulk upload takes, with an Aucta SKU on every listing. Your sales come back as the Weekly Order Report Whatnot publishes on Mondays. Upload it on Weekly reconciliation and each sale finds its lot by that SKU, so the profit is worked out from what you actually paid.

Whatnot has not opened its API to new partners yet, and Aucta is on the list. Until it does, two files do the same job: your lots go to Whatnot as its own bulk-upload file, and your sales come back as the Weekly Order Report.

The SKU on a new lot

Every new lot has a SKU. Put that in the listing's SKU field on Whatnot and the sale will find its way back to this lot.

Exporting for Whatnot

Your lots as Whatnot's own bulk-upload file, carrying the Aucta SKU. That SKU is what brings the orders back: when you upload your weekly report, every sale finds its lot and its real cost.

Your run order as Whatnot's own file, in this order, with the Aucta SKU on every row. Load it into the show on Whatnot and the sales come back to these lots when you upload the week.

The file is the same. What you do with it on Whatnot is not.

Whatnot's importer accepts its own words and nothing else, so every one of these is checked against Whatnot's own list before the file is written. A lot with something missing stays out of the file rather than failing the import for all of them.

If you made a profile on Whatnot -- a flat box, your own padded mailer -- type its name exactly as Whatnot shows it and it becomes a choice above. Aucta cannot see your profiles, so it cannot check the spelling; Whatnot will, on import.

Up to eight photos a lot go into the file as links that work for a number of days. Whatnot fetches them when you run the import, so import within those days or export again. A draft needs at least one photograph before Whatnot will let you publish it.

Two files, because Whatnot's coins template has different columns from everything else. Import them separately.

Aucta has marked these lots "On Whatnot" with today's date. If the import does not go through, use "mark as not exported" on the shelf so the next export picks them up again.

Categories and shipping profiles

These come from Whatnot's own category list, so what you type is what the listing will carry. Until your account is connected, the list is the published one.

The category sets Whatnot's rate on every sale from this lot. The next export asks for the Whatnot sub-category again.

Required. It sets Whatnot's rate on it, and Whatnot needs one to list it. You can change it later on the lot's page.

What Whatnot needs to price shipping -- set once per lot. Profiles are Whatnot's weight bands. Once your account is connected we will show your own list; until then these are the published defaults.

Bringing the week back

Upload the week from Whatnot and every sale finds its lot, its cost and its show. Nothing to match by hand, as long as the listing carried an Aucta SKU.

The week itself is Whatnot's, on UTC, whatever your time zone; times inside it are shown in yours.

Whatnot publishes it every Monday at 6am UTC and it covers Monday to Sunday. Monthly and annual statements from the same menu work too.

Every sale in a file that is decided means the profit for the matched orders is on Business Manager and on each show. When sales are not decided yet, there is no profit figure for that week. Net is what Whatnot paid you, which is a measurement. Profit needs a cost for every order, and Aucta will not show one built on a guess.

Uploading a report again changes nothing -- every order is keyed on its ledger id, so a second upload of the same file adds no sales and no revenue.

The unmatched queue

Two different things can share a title. Decide any row on its own; it is never remembered.

"Not from my shelf": given away, but not stock Aucta holds -- or tips, shipping charges and things sold that never lived in Aucta. Counted in the week as Whatnot's money; no movement, no cost.

Nothing remembered yet? On weekly reconciliation, decide a group with "Remember for future uploads" ticked and it appears on the titles page.

Deleting an upload

Every sale it recorded is cancelled (kept, struck through, marked "upload deleted"), its weeks go back to missing, and the file is removed. You can upload it again afterwards.

An upload that is already in: nothing changed; its sales are on the upload that first brought them.

Start with last week's report; earlier weeks can follow whenever you like, and a week you did not sell can be marked as quiet. A week with no report: fetch it from Whatnot, or mark it as a week with no sales.

Grouped by title, with a giveaway's number taken off -- "Givy #3" and "Givy #4" are one question. Nothing is guessed: two titles that differ by anything else are two questions.

Each upload matches these titles on its own. Change one and the rows it matched are undone -- the sales cancelled, not edited -- and decided again; forget one and its rows go back to the queue.

Loading the file into Whatnot

Open Seller Hub and go to Shows. Open the show you are loading, or create it first. Choose Add products, then Import from CSV. Upload the file you just downloaded. Whatnot adds every row to that show as a temporary listing. Check the preview: Whatnot shows what it read before anything is created. Set your prices and go live. The Aucta SKU travels with each listing, which is how the sale finds its lot again.

For your shop: open Seller Hub and go to Inventory, choose Add products, then Import from CSV, and upload the file. Whatnot creates a draft for every row. A draft needs at least one photograph to publish. The links in the file last seven days.

The amount a buyer paid in total should include postage and tax, so it cannot be smaller than what the items sold for. If it is a lot more, it may be the whole cart rather than just these.

Giving something away is free of Whatnot's fees, but the postage is yours. Leave it blank if you handed it over in person. On a sale, postage is only what you covered yourself; most sales have none.
